Administrative Specialist - COVID-19

Work Schedule: Monday - Friday 8:00am - 5:00pm 

 

This is a temporary position at the Sedgwick County Health Department that supports COVID-19 response. The Administrative Specialist provides direct executive administrative support of the Health Director and Deputy Health Director, including coordinating cross-divisional and cross-response structure assignments, coordinating meetings, monitoring Outlook email, and preparing correspondence request responses. The Specialist will write and review COVID-19-related documents and presentations, including procedures and COVID-19 response activity documentation. The Specialist will attend webinars and perform research to stay up to date with information and guidance changes from the Kansas Department of Health and Environment (KDHE) and Centers for Disease Control and Prevention (CDC).

 

Provide direct executive administrative support for Health Director and Deputy Health Director

  • Keep calendars current, communicating changes as they occur
  • Monitor Outlook email of Health Director or Deputy Health Director, ensuring timely responses
  • Coordinate cross-divisional assignments and consolidate responses for Director Approval as requested.
  • Coordinate COVID-19 meetings and activities. Prepare meeting minutes and distribute.
  • Screen and prepare responses to internal/external correspondence requests. As needed, distribute requests to COVID-19 response team and ensure request is completed.

 

Provide effective and accurate written communication

  • Create, review, and format presentations and documents, including COVID-19 procedures and policies
  • Document COVID-19 response activities of the Incident Commander and Agency Administrator using standard Incident Command System (ICS) forms.
  • Ensure documents are submitted to Planning Section for tracking.

 

Research COVID-19-related topics and provide situational awareness

  • Daily, research and attend webinars to stay up to date with COVID-19 information and guidance changes from the Kansas Department of Health and Environment (KDHE) and Centers for Disease Control and Prevention (CDC)
  • Prepare daily SCHD COVID-19 activities report and distribute
  • As requested, research COVID-19 topics and prepare reports for Health Director and Deputy Health Director.

 

Minimum Qualifications: Bachelor’s degree in public health, business administration or other related field or be equivalently qualified by work experience or a combination of work experience and education, with one year of experience substituting for one year of education. One year experience in written business communications. One year of experience with Microsoft Office applications, including Outlook, Word and Excel.  Strong communication, interpersonal, problem-solving and computer skills are required. 

 

Preferred Qualifications: Two years of work experience in writing and editing business documents. One year of work experience writing procedures and policies. One year of work experience in a public health department or healthcare setting.  Three years of work experience with Microsoft Office applications, including Outlook, Word and Excel.
