Greet public, provide customer service and general reception as well as provide office and administrative support required to ensure timely processing of program referrals, outcome reporting and program functioning at all levels of service.  Provision of quality customer service to internal and external programs and agencies with respect to medical record functions of document imaging, filing, maintenance and tracking of patient records and supporting the function of completing requests for medical record information pursuant to state and federal guidelines/criteria or disclosure.


Quality Customer Service

  • Greet clients professionally and promptly
  • Answer phones in a professional manner and route appropriately
  • Verify demographic and insurance information and update in the Electronic Health Record (EHR)
  • Open and close the office as needed
  • Check and distribute faxes from the fax folders
  • Distribute agency and program surveys
  • Maintain copy machines and printers
  • Maintain visitor’s log, authorized visitor forms
  • Distribute interoffice and postal mail, prepare for pick up
  • Schedule interpreters for clients using MCO interpreter or contracted interpreters.
  • Distribute client rights and responsibilities
  • Conduct client outreach via phone and mail



  • Complete releases of information as needed or requested
  • Verify insurance
  • Collect payments for records
  • Receipt payments for patient and note in EHR
  • Problem solve billing issues at the program level
  • Enter note in EHR for all patient contact
  • Import patient documents into OnBase
  • Review monthly lists from MCO and update system as needed
  • Data Entry/Maintenance and tracking of charts and filing
  • Verify coverage in KMAP
  • Prepare letters for closure, participation, missed appointments and outreach
  • Track, process, and coordinate referrals to the program
  • Enter data in systems as required
  • Gather and enter Metric Data for Strategy Team as assigned
  • Timely, accurate filing of documents and Q and A logs
  • Accurately sort and track charts
  • Evaluate releases to determine if they are valid and sufficient
  • Respond to court orders and subpoenas within designated timeframes
  • Occasional transport of sensitive documents to/from other department locations
  • Data tracking/entry for promoting efficiency of multiple programs


Other related duties may be assigned as needed

Minimum Qualifications: Minimum of a high school diploma or equivalent. Two years’ general office experience. Must have a valid Kansas Driver’s license and current proof of automobile insurance. Must be able to safely operate a motor vehicle and meet driver qualification standards as set forth in Sedgwick County’s Fleet Vehicle Operation and Usage policy.  Meet the specifications as outlined in the CMHC licensing standards and pass KBI, SRS child abuse check, adult abuse registry, and motor vehicle screens.  Must complete orientations provided by Sedgwick County and COMCARE. In order to comply with the requirements of the federal health care staff COVID-19 vaccination mandate, all employees of COMCARE and the Health Department must be fully vaccinated.
