Vaccine Redistribution Planner COVID-19

This is a temporary position in the Sedgwick County Health Department (SCHD) for COVID-19 response. The Vaccine Redistribution Planner partners with leadership and other necessary teams to ensure the vaccine needs of the Sedgwick County Health Department and its partners are met. The position serves as the point of contact for businesses and organizations and coordinates the timely redistribution of COVID-19 vaccine to external partners. The position communicates with leadership and SCHD COVID-19 response staff, including Vaccine Branch Operations and Logistics, to coordinate vaccine pick-up and any assistance needed. The position communicates and documents clinic planning activities in a timely manner.


Coordinate redistribution of COVID-19 vaccine to Vaccine Providers

  • Identify and assess Vaccine Providers enrolled through the Kansas Department of Health and Environment (KDHE)
  • Communicate and disseminate information to enrolled vaccine providers
  • Connect enrolled Vaccine Providers to worksites or other populations in need of vaccine clinics
  • Complete transfers of vaccine to Vaccine Providers in KDHE software
  • Document vaccine transfers in SCHD project management software
  • Communicate with Logistics staff
  • Coordinate with Deputy Planning Section Chief - Vaccine to ensure SCHD has vaccine availability to meet vaccine transfer requests


Communicate with external and internal partners about COVID-19 vaccine

  • Communicate and coordinate interests and requests for vaccine from businesses and organizations
  • Work with Outreach staff to identify businesses and organizations that need vaccine
  • Communicate with supervisor and SCHD COVID-19 response staff about redistribution activities
  • As needed, perform site visits and tactical plan preparation for mobile vaccine clinics
  • Follow procedure and timeline for logistics preparation
  • Communicate with Vaccine Branch staff about any changes
  • Attend planning meetings
  • Assist in creating, ordering or setting up outreach materials or activities


Communicate and document clinic planning activities in a timely manner

  • Ensure clinic information in electronic project management software is updated and accurate
  • Write summary reports of clinic activities
  • Communicate regularly with supervisor and Vaccine Planning staff
  • Assist in collecting clinic feedback and writing reports
  • Assist in after action report meetings and documentation
  • Assist in writing and reviewing procedures
  • Assist with clinic operation and vaccine clinic planning as needed


Minimum Qualifications: High school diploma, GED, or equivalent. One year of experience with Microsoft Word and Excel. One year of customer service experience. Project management experience. Experience working with businesses and/or community partners. Per Sedgwick County policy, this is a driving level position that requires a valid Kansas driver’s license without restrictions and current proof of automobile insurance.


Preferred Qualifications: Associate’s degree or higher from an accredited college or university in business, public safety or health-related field. One year experience with data management, databases, and/or data analysis. Two years of project management experience. Two years of customer service experience. One year of work experience in a public health agency or medical-related agency such as a hospital, medical clinic, or emergency medical services (EMS). One or more Federal Emergency Management Agency (FEMA) Incident Command System course completion certificates (IS – 100, 200, 300, 400, 700 and 800).
