Administrative Specialist I - District Attorney

Provides clerical support to the CINC attorneys and support staff.  Provides reception coverage for the second floor.  Handles various clerical duties in support of the juvenile division of the District Attorney’s Office.

 

Performs clerical functions for the CINC department

  • Prepares files for upcoming dockets by filling out and inserting needed forms
  • Drafts and mails ICWA letter to appropriate tribal organization
  • Receives returns from ICWA mailings and scans into portal
  • Organizes incoming documents for filing in CINC case files
  • Receives and distributes faxes
  • Locates and prints documents from court imaging system
  • Assists with background checks as needed

 

Covers second floor reception area

  • Greets visitors as they arrive on second floor
  • Assists visitors and directs them to proper location or staff
  • Notifies staff when visitors arrive

 

Handles incoming E-File notices

  • Reviews incoming notices daily
  • Identifies notices for documents that were filed by outside attorneys
  • Notifies appropriate staff by forwarding notice or document
  • Deletes notices once they have been properly handled

 

Provides general administrative support for the juvenile division

  • Orders office supplies and monitors usage
  • Schedules service for all multifunction copiers

 

Minimum Qualifications: High School diploma or equivalent. Two years’ experience in varied clerical and secretarial work or any combination of training and experience that provides the required knowledge, skills and abilities.

 

Preferred Qualifications: Two years’ experience working in the criminal justice system.
