Administrative Specialist

Provides advanced secretarial and administrative support for the information technology and support services division. Processes departmental documents in accordance with established and accepted policies and procedures.

Coordinate with Human Resources on the execution of internal personnel processes (FMLA, retirement, promotions, vacancy notices etc.) Oversee hiring workflow with


Sheriff’s Office (backgrounds) and Human Resources (PAFs).

  • Schedules interviews with candidates and panels.
  • Accurately processes necessary forms. Submits PAFs and request for a background check within 2 days of receipt. Follow up with HR if drug testing or start date paperwork not received in a timely manner.


Liaison to Finance (AP, Purchasing, Budget).

  • Coordinates and monitors purchasing procedures to ensure proper funds are charged; verifies estimates and recommends purchases, process purchase orders, and maintains purchase contracts.
  • Submits purchase requisitions and resolves issues with orders within a timely manner.
  • POs closed in an appropriate amount of time.
  • Vendors contacted for missing invoices within 30 days of receipt of order.
  • Reviews, analyzes and assists in the preparation of the departmental budget; provides recommendations to the Senior Administrative Officer regarding budget adjustments; administers the budget.


Administrative Tasks

  • Orders, verifies receipt, and maintains office equipment and supplies; places supply order and initiates service calls on copiers, personal computers, printers, telephones, etc.; determines equipment needs to enhance the efficiency of the office; negotiates renewal of software license and maintenance support agreements; coordinates and monitors maintenance of the office and/or building.
  • Prepares and maintains departmental personnel including pertinent employee information; ensures department personnel actions are in compliance with County policies and procedures.
  • Work with staff to book travel/training. Ensure staff are having their needs met while being fiscally responsible with County funds.
  • Provide department oversite for services provided by cleaning staff. Attend vendor meetings. Alert appropriate facilities staff regarding issues.
  • Serve as liaison between maintenance and IT staff for facilities issues.


Minimum Qualifications: High school diploma or equivalent supplemented by courses in secretarial science. One years’ experience in responsible secretarial work or any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.


Preferred Qualifications: Associates level degree or higher in administrative assistance, acquisition, procurement, contract management, legal assistant or related field of study. Two years’ experience in responsible secretarial work or any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.
