Performs varied clerical and office work in the District Attorney Adult Records Division for one or more administrative, professional or technical employees.

 

Maintain, manage and distribute case files

• Keep accurate record of file locations and check files in/out to staff using barcode tracking system
• Pull and distribute files for dockets, attorneys, discovery and staff and replace files in proper location after they are returned
• Scan and file loose paperwork in the appropriate files

 

E-filing documents into statewide system for court filing

• E-file all subpoena returns following protocol established to upload and document properly
• E-file journal entries and documents placed into records electronic inbox
• E-file miscellaneous documents as requested by attorneys and other staff
• Follow up on all E-filed documents to verify receipt and filing in court database or track documents as needed to verify timely filing

 

Additional assigned duties and/or backup training may include, but not be limited to:

• Open new case files following established protocol to scan opening documents into image database, verify all necessary documents are received, update FullCourt and Evidence.com with new information and forward to discovery unit
• File closings including verification of closing in FullCourt, delete criminal history documents as required, close case in JustWare and document closing as needed
• Conduct daily mail runs and receive, sort and distribute departmental mail
• Archival project following established protocol to prep and scan, document and update destruction as needed and shred files once approved

 

Minimum Qualifications: High school diploma or equivalent including or supplemented by secretarial subjects. Two years’ experience in varied clerical and secretarial work or any combination of training and experience that provides the required knowledge, skills and abilities.

 

Preferred Qualifications: Two years’ experience in the legal field. Extensive knowledge of Microsoft Office products; bilingual
