Administrative Support II - Admin Corrections

Work Schedule: Monday - Friday 8:00 AM - 5:00 PM  


Performs advanced secretarial and administrative work for one or more programs/departments within the Division.


Administrative tasks - Prepares and processes supply orders and personnel requests for the Division; creates, proofreads, copies and distributes reports; maintains accurate records; compiles data for administrative reports, legal and other documents inclusive of electronic databases; makes varied mathematical computations for data reports.


Data and records maintenance - Types, sorts and files correspondence, invoices, statements, legal documents, policies, reports and other materials; assembles information packets; may attend regular meetings, transcribes notes, types agendas, tabulates information, and distributes final documentation. Creates lists and spreadsheets. Enters information into databases. Scans paper files, creates indexing, and manages electronic files.


Customer service - Receives and distributes departmental phone calls; coordinates and schedules meetings; receives, sorts, stamps, and distributes departmental mail; Provides constructive feedback and recommendations for improvements.


Minimum Qualifications: High school diploma or equivalent supplemented by secretarial courses. Certified transcript(s) required to verify education credits. Four years of experience in responsible administrative support work. Professional references documenting the years of related work experience are required to verify related work experience. Must meet minimum levels on pre-employment testing of keyboarding/typing 50 wpm; proofreading 75%, Basic Word 70% and Basic Excel 75%.
