Work Schedule: Monday - Friday 8:00 AM - 5:00 PM.
Performs advanced administrative work for the Department of Corrections.
Perform personnel functions for all DOC Facilities
- Prepare all PAF’s for hiring, transfers, promotions, demotions, resignations, and terminations of departmental staff.
- Create and monitor all department requisitions.
- Score applications and schedule all interview/fingerprint appointments for the DOC.
- Create and maintain templates in DocuSign (and any subsequent program).
- Send DocuSign envelopes to applicants, volunteers and contract workers.
- Create interview panel packets and facilitate interviews.
- Scan and maintain all candidate fingerprints; submit to KBI and DCF.
- Complete all OSCAR (Out of State Child Abuse Record) checks required by DCF.
- Submit request for NCIC background checks.
- Complete reference checks.
- Submit and complete PREA background checks.
- Create and issue departmental change of duty letters.
- Audit affiliate lists sent quarterly by KDCF for employees, volunteers, medical, maintenance and contracted staff for JRF and JDF.
- Update the Emergency Notification System (ENS)/CivicReady.
- Maintain updated driver’s license and auto insurance for all departmental staff.
- Send confidential FML notifications timely and accurately.
- Update department photo albums.
- Create employee personnel file in Onbase, scan and e-file required personnel information in accordance with department policy.
- Update employment log and various informational tracking spreadsheets.
- Create lists and maintains spreadsheets related department staffing table, and monitor compliance with state licensing requirements related to training hours, annual background clearance, and driving requirements.
- Follow up with applicants as needed.
- Maintain all SCDOC interview files, employee movement and new hire files for current plus 3 years.
- Meet, greet, and direct visitors and personnel.
Departmental correspondence
- Receive and distribute departmental phone calls; coordinate and schedule meetings; receives, sorts, stamps, and distributes departmental mail.
- Accurate up-to-date information relayed to relevant individuals to include positive and negative information.
- Provide constructive feedback and recommendations for improvements.
Minimum Qualifications: High school diploma or equivalent. Certified transcript(s) required to verify education credits. One year of experience in administrative support work. Professional references documenting the years of related work experience are required to verify related work experience. Must be at least 21 years of age. Per Sedgwick County Policy, this is a driving level position that requires a valid US driver’s license without restrictions and current proof of automobile insurance. Personal vehicle for use when county vehicle is not available (employee reimbursement is provided by County). Pass legal background check, Child and Adult Abuse & Neglect Central Registry checks, KCJIS Security Policy (fingerprint) check, and pre-employment screens. Must also meet the required conditions contained in KSA 65-516 and KAR 28-4-356.
Preferred Qualifications: Two years of administrative experience in human resources or personnel management, including processing/handling confidential information.
