Office Specialist

Pay:  $12.67 per hour. | This position has been approved for a salary increase effective January 1, 2022. The new rate of pay will be $13.30 per hour. 

Work Schedule: Monday - Friday 8:00am - 5:00pm 

 

Performs varied clerical and office work involving the exercise of some independence in the conduct of standard duties for the support of administrative, professional or technical employees. 

 

             50% - Customer Service - Performs duties as a training assistant and clerk. Responsible for distributing training materials, set-up and clean-up of training rooms and maintaining the training supply inventory.  Creates and distributes training bulletin; maintains class rosters; assures training packets are completed; creates certificates, updates various training forms. Updates, compiles and coordinates with County Print Shop for the printing of the Academy training book and the annual training catalog. Provides technology assistance to trainers as needed.  Updates training SharePoint site as needed.
 

             25% - Data Maintenance – Creates lists and spreadsheets; enters information into databases. Records and maintains various statistical data regarding the training program’s services, activities and operations. Prepares, maintains, processes and distributes various reports, records, spreadsheets and other documents pertinent to the training program’s operation; ensures same is in compliance with department policies and procedures and is accurate and complete.
 

             20% - Clerical Tasks – Composes and types correspondence.  Compiles, copies, and completes data for administrative and public reports, questionnaires and other documents; makes varied mathematical computations on material assembled. Assists with advisory board meetings and types board meeting minutes. May attend additional meetings, transcribe notes and type agendas.
 

Minimum Qualifications: High school diploma or equivalent including or supplemented by courses in secretarial and general bookkeeping subjects. Transcript verifying education credits is required. Two years of experience in varied clerical and/or secretarial work. Professional references are required to verify the related work experience. Must meet minimum levels on pre-employment testing of keyboarding/typing 50 wpm; proofreading 70%, Basic Word 70% and Basic Excel 70%. Pass legal background check, Child and Adult Abuse & Neglect Central Registry checks, KCJIS Security Policy (fingerprint) check, and pre-employment screen for alcohol and drugs. Must also meet the required conditions contained in KSA 65-516 and KAR 28-4-356.
