This position provides fiscal and clerical support required to ensure program outcomes. Responsible for data collection and ensuring state reporting is in compliance with state contract and local policies; and responsible for ancillary duties.
Clerical
- Process returned mail, research, obtain and input correct addresses in EMR and state data collection system per CDDO guidelines. Re-send mail if needed.
- Responsible for preparing documents for scanning, scanning documents, verifying quality of digital images, indexing and storing images according to record retention guidelines.
- Upload signed Comprehensive Options Counseling forms to the state’s data collection system.
- Responsible for monthly annual mailing, develop annual mailing recipient list, coordinating mailing of information and document information was sent in EMR.
- Responsible for waiting list reconciliation, verifying individuals want to continue to be on the waiting list, update contact information and document ongoing interest or removal in EMR. Consolidate responses for submission to Operations Director.
Data Management
- Review documents submitted by assessors for accuracy and obtain corrections as needed.
- Monitor tier changes, determine if change will affect current funding and notify Service Access Manager and Assessor of review.
- Jail report monitoring and update EMR as needed. Track deadlines to submit information to the state for reinstatement of funding when needed.
- Make contact with contractors to obtain service start dates and enter information into EMR.
Data Entry
- Input functional assessment into the state’s data collection system within state policy timelines
- Create MR forms and save in appropriate folder to be sent to Targeted Case Management (TCM) agencies.
Minimum Qualifications: High school diploma or equivalent. Two years’ experience in the performance of bookkeeping and related work, with some exposure to data entry methods, or any equivalent combination of training and experience which provides the required knowledge, skills and abilities. Must submit to criminal, abuse/neglect registry background checks. One year of experience with Microsoft Suite or similar systems.
Preferred Qualifications: Experience working with individuals with intellectual and/or developmental disabilities.
