High level administrative support processing personnel action forms and background checks for the Division of Public Services. Maintains all personnel files and staffing tables as well as ensuring that all personnel forms are completed timely and accurately. This position works closely with the Personnel Manager and Recruiter/Community Liaison positions to ensure staffing functions run efficiently and effectively. Expected to identify workflow improvements and anticipate administrative needs. Meets with all employees to administer COMCARE New Employee Orientation. Assists the Executive Director in managing projects. Maintains a high level of integrity in handling confidential information.
Regular, reliable, and non-disruptive attendance is an essential job duty, as is the ability to create and maintain collegial, harmonious working relationships with others. Employees must be able to complete complex tasks by applying CCBHC practices, standard office policies, authorized instructions, and past precedents to achieve a desired outcome. Employee must quickly recognize emergency or sensitive situations and take appropriate action. Critical decision making and the ability to think through the consequences of a decision are essential in this position.
Personnel/Human Resource support
- Process background checks
- Meet with new employees to collect division specific paperwork
- Serves as the primary point of contact for all new employees, and serves as the main presenter for new employee orientation
- Activate and manage the ID badge access for all of Division of Public Services
- Maintain division specific paperwork within OnBase
- Processes all PAFs timely and accurately
- Maintains structured systems for tracking deadlines, tasks, and communications
Maintain Position Control
- Regularly utilizes Excel for complex staffing tables, using advanced functions
- Update and maintain COMCARE’s organizational chart
- Track any position movements to ensure they are accurately updated in the County system
- Review all PTF’s to ensure they match the staffing table
- Review budget documents to ensure all positions are included in annual budget submissions
Assist the Executive Director of COMCARE with daily administrative support tasks
- Manages administrative duties for the Mental Health Advisory Board, including creating the monthly presentation, arranging catering and room setup, and typing and distributing meeting minutes
- Screen incoming mail, email and/or telephone calls for the Executive Director, and when needed Director of Administration and Director of Quality & CCBHC. Must proactively recognize needs to ensure prompt resolution and follow-up
- Assist in special projects on an as-needed basis, with respect to researching, coordinating and formatting information into acceptable presentation formats
- Type correspondence, generate reports, create/maintain spreadsheets and various databases and create presentations through a variety of computer applications.
- Manage schedules, coordinate and arrange meetings using Microsoft Outlook
- Set up laptop/projectors/DVD, and other misc. equipment for meetings
Minimum Qualifications: Two (2) years of experience in administrative work, or two (2) years of coursework from an accredited college in Human Resources, Business Administration, or a related field. High School Diploma or equivalent. Meet the specifications as outlined in the CMHC/CCBHC licensing standards and pass KBI, DCF child abuse check, DCF adult abuse registry, KDADS Nurse Aide and Criminal Record check, and National Sex Offender Registry check. Must complete orientations provided by Sedgwick County and COMCARE.
Preferred Qualifications: Two years of experience in Human Resources or Executive Support
