This position assists the patrol division with administrative office management following all laws, regulations, policies, and procedures for the Sheriff’s Department. This position regularly interacts with the public over the phone and in-person, requiring the position to quickly evaluate the encounter for safety concerns, and react appropriately. The position is exposed to potentially disturbing and graphic evidence regularly.
Customer Service
- Answer all incoming phone calls from other law enforcement agencies, law offices, victims, suspects, the public, and internal departments. Maintain professional tone under pressure from callers who may be hostile and emotionally charged.
- Assist walk-in customers seeking information by assessing the situation for safety, understanding intent of the request, and the proper channels to help solve the customer’s request.
- Filter requests for information regarding cases of drug charges, fatality accidents, theft, domestic violence, murder and various other crimes; release information acceptable by policy, and direct callers to correct point of contact for more restricted information.
- Explain laws and regulations related to civil, criminal, and general ordinances to patrons when needed.
Office Responsibilities
- Process receive, and put away supply orders weighing up to 20 pounds regularly.
- Pull information and reports from a variety of Sheriff Department programs including IlEADS, OnBase, ADAM, FullCourt, Niche, Axon Evidence, and Microsoft Suite.
- Enter error-free, detailed information into law enforcement systems to assist with cases.
- Maintain inventory, develop shopping lists, and order supplies and equipment for the patrol division as needed
- Act as the point of contact for the patrol division to answer questions related to schedules, processes and procedures, equipment used on patrol, duties, and general office questions.
- Train employees on software applications, equipment, and standard operating procedures. Act as the point of contact to troubleshoot issues and work on resolutions.
- Update and correct timecards for the Patrol Division, and serve as the point of contact for payroll to resolve any timecard issues.
Evidence
- Follow all safety procedures for self and others when processing evidence and related duties. Regard for physical safety as well as mental health are both required to complete these daily tasks.
- Use proper safety procedures when exposed to illegal drugs when deputies are processing evidence, preparing for trainings and audits, and other projects as needed.
- Use proper safety procedures when exposed to handling of unsecured weapons during deputies processing including firearms, swords, knives, brass knuckles, and other weapons.
- Maintain confidentiality and sensitivity when processing videos, images, or other evidence detailing evidence of grotesque bodily harm.
- Follow blood-borne pathogen procedures when working near evidence
Minimum Qualifications: High School Diploma or equivalent. Two years of experience in administrative, clerical, or law enforcement related fields. One year of experience with Microsoft Suite. Complete NCIC certification within probation period after hire. Must submit to pre-employment polygraph examination. Must pass pre-employment test of 80% reading comprehension to be completed after interview. Must be able to obtain a state notary.
Preferred Qualifications: Associate’s degree in criminal justice, public administration, or a related field. Four years of experience in administrative, clerical, or law enforcement related fields. Formal NCIC training or experience.
