Attend to visitors and deal with inquiries on the phone, face to face and connect to the appropriate staff.  Supply information regarding the organization to the general public and customers.   Contribute various clerical supports to meet the needs of the organization.

 

Reception/Customer Service

  • Manage entrance into locked department office, responsible for greeting visitors, determining purpose of visit. If appropriate, allow entrance or provide information to connect the visitor with the appropriate staff and/or refer to organizations within or external to county.   
  • Answer phone, determine needs of caller, screen for potential intake, refer to website for appropriate intake materials and/or connects caller to the appropriate SCDDO staff person or refer to external organizations.   
  • Verify documents before accepting and scanning or uploading into the appropriate data collection system.
  • Provide conference room support by giving directions to restrooms and vending machine/break room area and provides access to secured areas if appropriate.   
  • Receive incoming mail and faxes, review information and determine where to distribute, scanning information prior to distribution in appropriate data collection system.  

 

Document Imaging and Filing

  • Responsible for preparing documents for scanning, scanning documents, verifying quality of digital images, indexing and storing images according to record retention guidelines.
  • When deemed appropriate, initiate creation of consumer electronic record upon receipt of documentation. Perform quality verification of scan source uploaded into OnBase, determine if scan source meets record retention expectations, track outcomes of review in record retention quality review documentation.  

 

Clerical Support

  • Monitor assigned email boxes, review documentation, and determine who to distribute information to, and/or input into appropriate data collection system.  
  • Support departmental operations by managing the preparation, distribution and routing of key documents through printing, mailing and inter-office delivery.
  • Receive performance certificates from Quality Assurance Department, print, and mail per directive.   
  • Receive Options Counseling and Comprehensive Option Counseling forms, review, for signature and date, document signature, and date into appropriate data collection system.  Notify staff of form discrepancies.
  • Monitor for personal task assignments in Electronic Medical Record for directive to distribute intake documentation to applicants, printing and mailing information per request.  
  • Receive supply orders and notify requestor of receipt.
  • Report facility repairs needed and provide follow up to appropriate staff upon completion.
  • Regularly provide project support to Administration and the Service Access and Operations Team upon request, including researching information and documenting results of research or entering information into appropriate data collection system.    

 

Minimum Qualifications: High School diploma or equivalent. Must submit to criminal, abuse/neglect registry background checks. Ability to use word processing, database and spreadsheet software.

 

Preferred Qualifications: Previous front desk experience preferred.
