The role of the Office Specialist is to provide administrative and clerical support to the Senior Administrative Manager and areas within the Finance Division. Works with division staff on a wide variety of projects in an administrative or clerical capacity and serves as the receptionist.

 

Provide internal and external customer service to Finance Division staff, County departments, and vendors.

  • Greet guests to the Finance Division professionally and promptly.
  • Answer inquiries for information by phone, email or in person and direct individuals to an appropriate desk, department or agency if further assistance is needed.
  • Accept and process deliveries, including mail, packages and hand-delivered materials.

 

Provide clerical and administrative support on Accounts Payable projects.

  • Daily processing, coding, and scanning of accounts payable documents and invoices into OnBase (the County’s document management system).
  • Perform general document management such as removing duplicates, re-indexing, etc.
  • Communicate with Vendors regarding invoices.
  • Other AP data entry and management tasks as needed.

 

Assist the Senior Administrative Manager with routine work or special projects on behalf of the Division of Finance

  • Performs administrative tasks including calendar management, human resource tasks, training coordination, etc.
  • Uses multiple complex software applications, including OnBase, and the County’s financial and HR system, SAP.
  • Proofreading and document development/formatting in line with County and/or Finance-prescribed formats

 

Minimum Qualifications: High school diploma, GED, or equivalent.  One year of experience in an administrative field (office setting). Experience using Microsoft products (Word, Outlook, Excel) or similar systems.

 

Preferred Qualifications: Two years of experience working in a finance setting or business office.
