The Women, Infant, and Children’s (WIC) Administrative Supervisor I position requires proficient customer service as well as supervision skills. This position works to meet the mission of the Sedgwick County Health Department by assuring quality WIC services for clients through supervision and training of the WIC Client Care Specialists at the 9th street WIC clinic. Responsibilities include customer service, ensuring medical data is collected accurately, and daily management of staff and services. The position also provides direct client services as needed. This position requires a thorough knowledge of WIC program policies and procedures. Employee will provide support during public health emergencies.

 

Personnel Management

  • Review applications and assist in the interviewing of WIC positions
  • Provide orientation and training for new WIC personnel including medical data skills
  • Plan, assign, and supervise the work of the WIC Client Care Specialist staff at the 9th WIC site
  • Document and track staff progress, incidents, and training needs
  • Manage e-timesheets and WIC daily hours accurately and on-time
  • Assign and monitor completion of WIC reports
  • Prepare and give quarterly/annual performance evaluations for staff
  • Attend and assign trainings  

 

Program Operations

  • Research and accurately document finding from reports (I.E. dual participation, eWIC card signature etc.).
  • Ensure WIC transfers are completed correctly, send verification of certification for out of state transfers, and review proper documentation of foster/kinship/caregiver clients is accurate
  • Create orders for supplies both internally and from State of KS WIC
  • Manage storage of records (I.E. boxing, labeling, coordinate pick-up)
  • Investigate and document staff or client incidents, complaints, misconduct, and miscommunication
  • Assist in finalizing daily and monthly staff schedules to ensure adequate staffing and coverage
  • Manage and document eWIC card supply for the WIC site
  • Follow, interpret, and assist in the development of local WIC policies and procedures
  • Provide community outreach
  • Handle requests for Public Health Information, and ensure HIPAA and WIC confidentiality are followed
  • Manage distribution and collection of surveys

 

Client Services

  • Provide direct client services when high volume show rates occur or with staff absence which includes accurately gathering clients medical data: includes taking heights/lengths, weights and using a lancet to draw a finger poke blood sample for hemoglobin and lead tests for women, infants and children ages 1 to 5
  • Identify customer needs, clarify information, research issues, and communicate program information
  • Manage and document incoming client proofs using a software named Intake Q and verify the proofs meet WIC standards (Income, insurance, address, ID)
  • Manage WIC email inboxes and faxes; monitor and respond to requests
  • Issue food benefits
  • Provide guidance and documents the client’s secondary nutrition education appointment contact
  • Promote breastfeeding
  • Manage incoming client referrals from IRIS software and make community referrals
  • Provide and discuss voter registration/declination with client and interoffice voter form to County Election Office
  • Act as a back-up for the WIC call center

 

 

Minimum Qualifications – High School Diploma or equivalent. One year of experience in customer service, office administration or related field. Must complete Federal Emergency Management Administration (FEMA) IS 100 and 700 courses within 30 days of employment.

 

Preferred Qualifications: Two or more years direct staff supervision; CNA, CMA, MA.
